From attendance to collaboration saving about 150 hours a month

Shouwang uses Feiji for HR, contracts and settlement, and engineering operations. People ask in their department or project space. Feiji uses existing materials to prepare records, documents and plans for colleagues to review.

Continue everyday work in department and project spaces

Within Shouwang, HR prepares attendance and employee registers each month. Sales and Finance prepare contracts and check settlement documents, while the software division develops and maintains several projects. Searching for information, checking data, sharing files and summarising progress take time every day and slow down business processing and collaboration.

To reduce repetitive work, the team introduced Feiji into daily operations. Staff make requests in the relevant department or project space. Feiji uses existing files and business records to help organise registers, generate business documents and investigate system problems. In about five weeks, 10 colleagues held over 1,000 work conversations across five department spaces and more than 10 project spaces, gradually turning recurring experience into reusable materials and processes.

Challenges and approach

Challenge

Attendance checks are repetitive and exceptions are easy to miss. Clock-ins, overtime and staff changes require cross-checking and repeated spreadsheet comparisons.

Approach

Prepare registers and flag questions together. Feiji follows the agreed template, leaving HR to review the exceptions.

Challenge

Cross-department materials are scattered and repeatedly prepared. Contracts, settlement and business analysis require templates, data and reviews.

Approach

Generate documents from business context and share the reviewed work. Feiji prepares and files drafts that authorised colleagues can check and reuse.

Challenge

Engineering clues are scattered and follow-up takes effort. Engineers search code, logs and history, then prepare a plan and share progress.

Approach

Help analyse problems and keep a record of the work. Feiji gathers evidence, suggests actions and assists execution after authorisation.

Prepare attendance registers in half a day instead of two days

Monthly attendance involves clock-ins, overtime and employee arrivals and departures. HR must compare monthly and daily sheets, check whether attendance groups match, identify unusual records for former employees and find duplicate employee numbers. The process takes time, and omissions or inconsistent rules can lead to repeated revisions that delay confirmation and subsequent work.

With Feiji, HR uploads more than 1,100 raw clock-in records each month to the department space and specifies the reporting rules and template. The platform prepares four sheets covering attendance details, overtime, raw data and new employees. In one run, it flagged over 20 items for confirmation. After HR review, the register is filed by month for later checks.

Previously, one person typically needed two working days to prepare a register. With Feiji preparing the draft, preparation and review now take about half a day, freeing about one and a half working days each month for this task. HR can focus on questions and exceptions instead of organising every row, reducing repeated checks and helping subsequent work proceed.

Prepare a contract and settlement package in under ten minutes

Contracts and settlement documents pass between Sales, Finance and the relevant decision-makers. Previously, staff searched for requests and old templates, entered project details, checked settlement information and sent drafts for review. Revisions meant checking versions again. Repeated preparation and handoffs consumed communication time and risked inconsistent information.

Feiji reads requests in the Sales space and uses historical contracts to prepare a contract and a matching settlement sheet together. The documents are filed by year, month, date and project. Authorised colleagues can review the same files and check terms, amounts and business details. For business analysis, the platform also organised eight consecutive months of income and expenses across three factory sites, producing a report and reconciliation sheets for the relevant departments to confirm.

A contract and settlement package previously took about one and a half hours to prepare. Generating the draft and checking it now takes less than ten minutes, a reduction of about 90%. Monthly reconciliation and business analysis also fell from about two working days to half a day. Colleagues spend less time repeatedly preparing documents and more time confirming business details, communicating with customers and handling exceptions.

Help engineering prepare an operations quote the same day

The software division maintains several business systems. Troubleshooting requires code, runtime logs and history. Preparing an operations quote means reviewing past service work and estimating future effort. Previously, engineers searched and consolidated these materials manually, then documented the process and shared progress. That extended response times and took capacity away from development and delivery.

In project spaces, Feiji reads code, logs and historical material to help organise investigation clues and recommendations for engineers to confirm. For one quote, it used nearly six months of operations logs to organise service work across three systems: WMS, SRM and the OEM platform. It prepared effort estimates and a draft proposal. Scheduled tasks also collect daily engineering progress, reducing manual chasing and repeated summaries.

Comparable quotes previously took two or three days of record review, estimation and drafting. A draft can now be ready the same day, letting engineers move into review and customer discussion sooner. Across ongoing use in attendance, contracts, reconciliation and engineering operations, the team internally estimates about 150 staff-hours freed each month, equivalent to about 18.75 eight-hour working days. That leaves more time for complex problems, customer needs and project delivery.

Keep work materials and experience available for the next task

Through this practice, Feiji has become part of Shouwang's HR, cross-department and engineering work. Files, business experience and handling records accumulate in workspaces. The team plans to further connect shared files, scheduled tasks and workflows and explore contract review and expense approval. These are future directions: people will continue to make business judgements and key decisions while Feiji takes on repetitive preparation.
